Why aren't my downloaded accounts on my PC listing any categories?

I have Quicken Deluxe and linked it with my bank account. Everything downloaded but every transaction is blank in the category column. At the top of the page it states "122 categorized transactions." What do I need to do?

    Also, your bank has no idea what categories you use in Q.
    Is a purchase (for example) at Kroger for:
    • Gasoline
    • Groceries
    • Pharmacy
    • Books/Magazines
    • Gifts
    • Sales tax
    • etc.
    If you want an accurate list of the categories used in your purchases, input the transaction manually shortly after you make the transaction.  OR, edit the transaction immediately after download to input the Category.

  • Here's a screen shot of what I'm referring too. Time wise, it would be nearly impossible to go back and categorize all of these manually. Additionally, the software states it will do that for the user - and it hasn't.

    I can understand that it's a little too late now to make Quicken do something about the already downloaded transactions. You'll have to fix those by using Edit / Find/Replace and changing Payee Names to something more understandable than "Dbt NSt Ho". After that, you can use the same Find/Replace to categorize your downloaded transactions, e.g., all Kroger to Category = Groceries. Done correctly, this should not take too long to do.
    As to making Quicken learn to give you better results for future downloaded transactions ...

    First please ensure that all optional settings in Quicken pertaining to recall, memorization, automatic categorization and renaming of payee names are enabled. You find those settings in Edit / Preferences / Data Entry & Quickfill and Downloaded Transactions. Additional settings can be found for the detection and processing of transfer transactions in Edit / Preferences / Transfer detection.

    Are you automatically accepting downloaded transactions into your registers?

    If you are relying on Quicken to "automagically" fill your account registers from downloaded transactions, you may run into problems. Despite all efforts by the Quicken programmers, the "Autopilot" (that's my name for the part of the Quicken program which processes downloaded transactions and converts them into new register transactions) is not infallible. For that process to work 100% of the time one would need a crystal ball because the information downloaded from the banks often is just too terse and cryptic.

    You should, at least for a while, turn off the "automatically accept downloaded transactions into registers" setting to gain better control over what is downloaded and what to do with it. Review each downloaded transaction, make changes if necessary (e.g., to get a payee name = "Starbucks" instead of "POS TRANS 070119 STARBU", "POS TRANS 070219 STARBU", "POS TRANS 070319 STARBU" or to assign a category) before you click to accept each transaction.

    Any changes you make to downloaded Payee Names are remembered in Renaming Rules.

    Any other changes you make (add/change Category or Memo text) are remembered in the Memorized Payee List.

    Next time the same transaction for this Payee comes along, Quicken should remember and give you a better new register transaction.


    In case you have issues with transfer transactions not being generated correctly:

    For best results manually enter transfer transactions into your register BEFORE you download transactions from the bank which contain the transfer confirmations. For recurring transfers use scheduled reminders and enter them a day or two before the due date. Be sure to use distinct Payee Names for each transfer / credit card payment to avoid confusing Quicken - memorized payee entries.
    That takes the guesswork out of the Autopilot's process. Because a correctly entered transfer transaction already exists in your account registers, the Autopilot should just match the downloaded transfer transaction to the existing one in both accounts.


    Where are the "Auto-accept downloaded transaction" settings?

    There are two places where this is controlled in Quicken for Windows:
     - Globally, for all accounts, in Edit / Preferences / Downloaded Transactions
     - For each account individually, the global setting can be overridden from the Edit Account Details screen, Online Services Tab. Look for blue text "Automatic Entry is: ON / OFF". Click the text to change the setting.

    @jodybridges767 First off are you just starting with this account?

    The reason I ask is all the "fixes" that are going to be suggested will be for future downloads, not the existing ones.   If you just started then what would be the easiest is to delete the account and start over on it after you fix some settings in Quicken.
    You can delete an account by right clicking on it in the account bar and selecting Edit/Delete account and then Delete, but only do this if this a brand new account you are willing to start over with.

      BTW the following settings should have been on by default, did you go in and change the settings?

    To check/change the settings select: Edit -> Preferences

    The ones that are important to be selected for this is "Complete fields using previous entries" and "Recall memorized payees", and "Automatically memorize new payees".

    And on this section make sure you select "Automatically categorize transactions".

    You will notice in my selections I violate what I just told you for "Auto memorized new payees" and "Automatically categorize transactions".

    When you first start out you have no list in Quicken of what a given payee should have for a category.  You build these up over time, and they are one the Tools -> Memorized Payee List. As in if a downloaded transaction matches a payee on that list it gets the category from that memorized payee.

    By turning on "Automatically categorized transaction" Quicken is going to make a guess based on the payee and some information it has from the financial institution of what the category should be, and use it in the transaction. And it is the "Automatically memorize payee" option that tells Quicken to store it in the Memorized Payee List. 

    This will allow you to build up a list of payee to categories.
    After a time your Memorized Payee List should become better than Quicken's guesses.  That is why it is off for me.  I have been using Quicken for years and have basically every payee in the list.  If a new one comes in I don't want Quicken to guess at it, I want to fill it in myself.

    The "Recall memorized payees" option tells Quicken to look through your Memorized Payee List to see if you already have that payee and if you do, use the category in it for the transaction.

    Note there is also Tools -> Renaming Rules
    The main purpose of these are to normalize/clean up the payees so that they will match the memorized payees.

  • Thank you for working with me to try and solve this. Yes, this is a brand new account, so when we figure out the problem deleting and starting over will be no problem. I think it's a good question to ask if I changed any settings, but no, I have not changed anything. However, I did go in and confirm that everything you said should be checked off is and the settings indicated in the previous message to me are were turned on, so the problem is something else.
