Changing new credit card number to download card transactions from same bank account

Question

Quicken R64.23 Windows. I downloaded Citybank credit card transactions and got the file, but this month, clicking it just flashed the Windows tool bar icon a few times, and failed silently.  I went to Tools - Account and clicked Edit and the Online Services, which was blank and said Setup was required (as only choice).  I have downloaded it for years, but this month, it says it offers Setup as only choice.  I suppose that means it disappeared recently but do not remember the original setup. So I did Setup and Quicken went to the bank and authorized me, but it made a second new account for that bank, blank without any existing records.   Except somehow four downloaded transactions for 6/7/205 has appeared in the download window.  So that is what has happened.

I finally realize now that the problem has to be that I recently replaced the card  (with a new number for same account), and the old number worked for a while for existing companies, but probably timed out and quit being accepted.  That must account for the missing setup.

How do I recover to keep the original Quicken account and past transactions, to be included again?  I assume I need to change the card number.  But change is the wrong word, there is nothing there now, so I need to add the info, but Setup went its own way for that.  I can delete the new Quicken account, but don't see a way to add the card number to the existing account?

Is the old card number still somewhere in Quicken that can be changed without making another new account?

Or is it possible to just copy (move) all old transactions to the new account?

Or what is the correct action now?

Hello @Wayne22,

Based on your description, it sounds like you were able to connect it as a new account, and still have the old account in your Quicken file as a manual (not connected) account.

The account number Quicken fills in is provided by the financial institution.  That is probably why it's able to see the updated card number rather than the virtual number.

The opening balance is an adjustment automatically added by Quicken to account for the difference between the balance the financial institution is reporting and the balance that one would get from adding/subtracting all the transactions that downloaded.

For filling in account history, there are a couple options.  Probably the easiest is to copy/paste the transactions from the old account into the newly added one.

The other option would be to backup your file, deactivate the new account, then navigate to Tools>Add Account, follow the prompts, and when you get to the add/link screen, link the account to the old account.

Thank you, but I am having trouble.  At Tools/Edit, Online Services, no Deactivate showed, only Setup Now was present.  Guess it was already Deactivated from last try, so I proceeded.

And Setup Now did have Add Account, and I proceeded and it completed and said Authorized.

I had added a Virtual card number, but instead, it knew how to use the actual newly replaced actual card number, to account XXX and 4 digits of actual card number.

But what it did was rename the previous blank try.  I say renamed  because the Downloaded Transactions window still had the strange four 6/7/2025 records in it.   The new account was virtually empty, but it did have one record in, 6/6/2025  Opening Balance  $1025.85.  Perhaps 3 months back and dummy value is normal procedure?  The previous old account (going back to 2018) had no record with 6/6/2025 or 1025.82 in it.

That does give me a future account capability, but am seeking retaining the old file.

So I am still stuck concerning retaining the old data.  I thought about maybe downloading all old transactions, but download only goes back two years.  I suppose I could simply keep it and refer back into it when desired, so it could be worse.

First, backup your data file in case you need it due to a mess up. Now deactivate the account with the old card number.  Select the account and go to Edit Account Details.  Click on the Online Services tab and select Deactivate.  Then click on the General tab and erase all information in the Account Number Field. Then click on OK. Now reactivate the account by selecting Tools/Add Account. Find the institution and go through the process like you are adding a new account.  When you get to the popup that ask you to login you will input the login information and this should eventually take you to a page showing the new account number. Now link this account with the old account that you deactivated and that should do it.
