Removing old data in my Quicken for Mac file

Question

Hello, I have been using Quicken for Mac for many years. My current file has over 15 years of data. Is there a way to archive older years and get a new file that would have only the last five years of data? I find my current file a little slow to load.  Thanks!

@Fxtrudel There are many of us here who have 3 decades and more of transactions in Quicken Mac. I do not attempt to remove old transactions because (a) I like having my long-term financial history one button-click away, (2) removing transactions can be a messy proposition, because of transfers between accounts and re-adjusting your opening balances and (3) I don't notice much performance lag carrying forward all my data.

When you say your current file is "a little slow to load", could you quantify that? Five seconds? 10 seconds? Do you have all windows closed except the main Quicken window when you quit Quicken? Before quitting, click on a single account (e.g. your primary checking account), then quit; relaunching to a transaction register screen is faster than having to reopen to a Dashboard or report screen.

Quicken for Mac does not currently include a built-in option to automatically condense your existing file into a rolling 5-year archive with a single click. However, you can achieve a similar result by creating a separate archive copy of your file and then removing older transactions from the working copy.

The general idea is to preserve your complete historical data in a backup/archive file while keeping your active file smaller and more manageable.

1. Back Up Your Current File

* Go to File > Save a Backup…
* Save the backup in a secure location

This backup will preserve your complete 15+ years of financial history in case you need to reference it later.

2. Create Your Working Archive File

After saving the backup, you can begin removing older historical transactions from the file you plan to continue using. Once older transactions are removed:

* Reconcile your accounts to confirm balances remain accurate
* Review reports and account totals for discrepancies
* Verify that your current balances match your financial institution records

This approach helps reduce file size and may improve overall performance while still preserving your complete historical records in the backup file.
