Edit Payees

As a start I am not looking to edit the Memorized Payee List but rather edit the Payees List that appear in the Report Customization Window/ Payees tab per the below image:

I have looked through the menus and cannot find any way to access / update this list.

Please explain / show me how to do so.

    The list of Payees in the report customization dropdown list comes from all the Payees you have used "recently" - last 3 years or something I think. If there are more Payees than will fit in the dropdown - 500 maybe - it randomly drops some from the list.

    There is no way to edit this list other than consolidating payees to eliminate near duplicates. Going forward, you can standardize the payees by using Renaming Rules.

    @JoelC - Payee reports only show payees that fall within the report range of the report. Try expanding or changing the date range and see if then the payee shows up.

    I am trying to clean up / consolidate the list and there appears to be no easy way to do so. This, to me, is an oversight.

    @JoelC - if you run a "Spending by Payee" report with all payees, accounts and dates, that might make your cleanup task a lot easier. You can find the report under "Spending".

    Also you can click on All Transactions at the top of the Accounts bar and click on the Payee header to sort by Payee to see candidates for renaming, then do Edit > Find and Replace to change the Payees in bulk.

    Be sure to back up regularly during this process in case something goes wrong.

    @CaliQkn and @Jim_Harman much thanks for teh suggestions, both methods work great.

    One follow up, in the Quicken Report Payee window there is a Payee named ' (i.e., just a single quote) which does not appear in the "Spending by Payee" report which I ran covering all accounts, all categories, all payees and all tags.

    Would love to delete or rename this Payee, any ideas?

    @JoelC - In the report, if you drill down to the transaction for that payee, it should show you the transaction in Quicken that the payee is associated with. Then, if you click on the transaction, it should take you to the actual transaction in Quicken that you can update.

    @CaliQkn but therein lies the problem in that i) that Spending by Payee report does not show that payee but ii) Quicken Report Payee window does show that payee (i.e., payee name ') per the below image.

    @JoelC it looks like you have a payee named with a single quote somewhere in your account registers. For some reason payees with a single quote as a name do not show up in the payee list options. The best way to find it is to use "All Transactions" with all dates, all accounts. Sort the register by payee and the one with the single quote should sort to the top of the register.

    @CaliQkn I ran the "All Transactions" report and the payee with a single quote did not appear. I am stumped!

    @JoelC - don't run a report. There is a "All Transactions" register in Quicken. It is right above your account list.

    Use that function to pull up all transactions (all account, all dates). Sort the register by payee and the "single quote" payee should come to the top.

    Sorry, I wasn't clear on that.

    I did that and it still does not appear.

    I wonder whether it is in one of my hidden / separate / closed accounts.

    @JoelC I am stumped. But to make sure you are including all accounts is to choose "Custom" for Accounts and ensure that all accounts are selected with "Hidden Accounts" and "Separate Accounts check marked.

    @JoelC here is how my "All Transactions" looks. Not sure why yours doesn't have the Account filter. It could be a difference in US and Canadian or the version of Quicken you are using.

    I did some testing and created a payee named with a single quote and it did show up on my transactions report, but didn't show up in my payee report or payee list to select from. You seem to have the opposite problem. Very perplexing.

    One other thought - did you try to run a transaction report with all account, all dates, all payees? Maybe you did, but I wasn't clear on that.

    WooHoo, I got !

    I started to go through the hidden accounts one-by-one and found it, in the second account.

    It still does not explain i) why it did not appear in any of the reports that I ran or ii) why I do not have the same All Transactions filter that you do!

    That said, I do think more robbust database management tools would be helpful.

    @JoelC Yes, I agree. These little errors and differences (defects?) can be very annoying, but the good news is you found it. Wow. Talk about a "needle in a haystack"!

    Agreed, hence the need for i) database management tools and ii) greater consistency between regions (at least for useful features).

    Are you sure you clicked on All Transactions at the top of the Accounts Bar? For me that changes the title to All Transactions and enables the Accounts filter. Otherwise the title is the currently selected account and you are just viewing transactions in that account.

    @Jim_Harman appreciated noting the only “All” I have is “All Dates”, there is no “All Transactions” and this no filters like you have.

    I wish I did, it would make my life a lot easier.

    You don't have a blue "All Transactions" at the top of the Accounts Bar, near the top left corner of your screen?

    Clicking on that should open the All Transactions pseudo-register. This is like a Banking register but it defaults to including transactions from all your accounts.

    I do have the blue "All Transactions" at the top of the Accounts Bar, near the top left corner of my screen but I have a different set of headers / options as you can see below.

    I have no idea why, but it is clearly different.

    @JoelC - At the top right of the All Transactions screen are two ways you can get to selecting which columns you want to see. See the following picture.:

    BTW, the column options for most if not all accounts that have account registers should be available and accessible in the same way.

    @Boatnmaniac -the issue is not which columns are showing, but what filters are available when using the "All Transactions" register. @JoelC does not have Account filter available in his version of Quicken.

    Just to be nitpicky … ;-) … look closely … the Payee Name in question is not a single quote ('), it's a French accent character (`), found on my US keyboard to the left of the "1" key. Makes a difference when you're searching for something: ` '

    For a moment I thought that the setting of View / Classic Menus vs View / Standard Menus could be making a difference, as it appears to do in some other features.
    In my US version it doesn't … so this might be a red herring.

    Could the missing accounts filter field in the All Transactions register be a "feature" or bug in the Canadian version … something that needs to be reported and fixed?

    how's the Payee Name cleanup coming along?
    Are you thinking about setting up Renaming Rules to avoid filling your registers with new Payee Names that will need cleaning up again?

    @CaliQkn - In @JoelC's last post (the one just before my post) he stated, "…but I have a different set of headers / options as you can see below." He was referring back to the picture posted by @Jim_Harman just before his last post and I noticed the columns/headers were different from what he had posted. My post was letting him know how to get the same set of columns/headers shown in his register view

    @JoelC - What happens if you click on the green Reset button? What happens if you click on the triangle just to the left of "Filters"?

    @JoelC - maybe you can start a new thread and get some feedback from other Quicken Canada users regarding the missing Account filter in the "All Transactions" register? We still aren't sure if this is a version issue or a defect with your installation. If it is a difference between the Canadian and US versions, then in my opinion, it would be a major defect for Quicken Canada.

    Correct, I simply do not have the filters that you have!
