Naming rules

Quicken has started naming many of my transactions with the same name. For instance I download my checking account transactions and it was calling many of them Kohls Bank of America. I fixed each one, but then it picked a new name and was calling many transactions by that name. Not all, some are correct, and mostly I'm noticing this in my checking accounts. I have to log onto my actual bank accounts to figure out what Quicken renamed. How do I get Quicken to download the name of the transaction as it appears on the bank account?

    Great question—and yes, this can definitely be frustrating when Quicken starts applying incorrect or overly broad naming rules.

    What you’re seeing is caused by Renaming Rules in Quicken. These are intended to clean up long or inconsistent bank descriptions (like “KOHLS #1234 ATLANTA GA”) into something friendlier (like “Kohls”), but sometimes Quicken gets overly aggressive or applies a rule to transactions it shouldn’t.

    Why it’s happening:

    • When you correct a payee name manually, Quicken may auto-create a renaming rule.
    • That rule might match too broadly, causing unrelated transactions to get renamed incorrectly.
    • If one rule matches multiple line items, Quicken will start auto-labeling those items with that rule—even if it’s not accurate.

    Here’s how to fix it:

    1. Review and delete problematic renaming rules

    1. Go to Edit > Preferences > Downloaded Transactions.
    2. Click Renaming Rules.
    3. Look for any rules that are too generic or that mention “Kohls Bank of America.”
    4. Select and delete those rules if they’re incorrect or overreaching.

    2. Prevent Quicken from auto-creating new rules

    • While still in the Downloaded Transactions preferences:
      • Uncheck “Automatically create rules when I edit payee names”. Auto create rules when I rename payees WIN.png
      • This will stop Quicken from making assumptions every time you fix a name manually.
