Adjusting share balance for a fund used in multiple accounts
I have 3 accounts that were invested in the same fund. I need to adjust only one of those accounts to 0 (zero) share, But when I tried that, my other accounts were seriously affected.
Any ideas folks?
Thanks,
Brad

Do you have all 3 accounts set-up in Q?
Do you hold the EXACT same security in each of the three, via either ADD or BUY transactions?
HOW did you adjust that one account and what happened in the other 2? Because what you're describing, as you've described it, shouldn't happen.
I have multiple instances where I hold the same security in multiple accounts … and those holdings are completely independent of each other.
Also, have you tried taking a backup and then VALIDATING your Q data file?

P.S. I am using the latest version of Quicken on Windows 11

NotACPA,
Yes all three accounts are years old; yes the EXACT security in all 3 accounts; I used a transaction entry Remove to remove shares (0.0278 shares) pointing to the one account (memo has Balance Adjustment) - I agree it "shouldn't happen"
A couple of weeks ago I performed a Validation.

NotACPA,
The Other two accounts are out of balance by over 28k, and 37k as of today - the day I removed a fraction of a share. Hence my concern…

Can anyone help me, please.

Hello @Brad Y,
The behavior you describe is not normal behavior, which leads me to believe there may be a file-specific issue causing this. Do you keep your Quicken file directly on your local hard drive? Is the file synced with any cloud services (OneDrive, iCloud, Dropbox, etc.)?
You mentioned that you already did a Validate. Did that Validate find any issues?
You may want to try restoring a backup from before the issue started, and test to see if that resolves the problem.
I look forward to your reply!

It's not entirely apparent, to me anyway, that the removal in 1 account is related to the situation in the other 2 accounts.
SO, have you compared the quote for the security to what shows at the brokerage website? Have you compared the quantity of shares held, in each account, to the website? Have you compared the securities shown in Q to the securities at the website.
Because, for any account, the account balance is the sum of (Quantity * quote ) for all securities in the account. SO, unless there's a seriously corrupted data file, either the list of securities, the quote for one/more, or the quantity for one/more must be in error. It's only in the case of corrupted data that Q has ever been known to have "math errors", and those are really data read errors, not "math errors".

Quicken Kristina,
Quicken is stored on my desktop PC, no I do not use any cloud-based operations. I do not load data from my broker, I use their data to manually enter transactions. I do not believe the Validation found any problems. Since I did that operation I have entered lots of data and that would be lost if I were to use the backup.
I know how to sort of fix the issue is to remove the transaction whereby I removed a fraction of a share.

NotACPA,
All my accounts match my brokerage statements. I am very detailed oriented, so no data entry errors. I wonder if when I removed a fraction of a share, if that somehow caused an internal Quicken error. Even if it did, it should never have cause those HUGE reductions of my accounts balances.

If all your manual transaction entries match the brokerage, why the removal of 0.0278 shares?
What’s the real world circumstance?
Why do you in your memo say Balance Adjustment?

Great question, on 4/11/25 I sold most all shares for one fund but in quicken I showed a balance of 0.0278 shares - cannot figure that out. So in my register for that account that fund remained displaying. Hence the transaction entry Remove to remove shares (0.0278 shares)
Quicken automatically added Balance Adjustment into the memo field.
Reasonable, right. Except it had an unexpected domino effect on the other Accounts - that is what this post is about.

I have performed another series of Validation and have no errors. I was thinking of reinstalling my Quicken; Does anyone have any thoughts on this?
Thanks,
Brad

I could use some guidance. Before I reinstall quicken - if at all.
Here is what I have on my hard drive under the folder HOME - the name of my quicken data files:
on my hard drive under home folder
folder q11 11/21/2024 file home.qdf 1-24-2013
folder q13 11/21/2024 file home.qdf 1-7-2015
folder q15 11/21/2024 file home.qdf 1-18-2016
folder backup has 40 files quicken data backup files
from 3-12-2025 thru 9-6-2025I am wondering could I use one or more of these file to rectify my issues; the ones under Folder Q11-Q15 are too old I think. But the ones under Backup folder are more recent.
Any help would be greatly appreciated.

Thank you for the follow-up @Brad Y,
If the issue is being caused by a file specific problem, then restoring a backup from before the issue started should resolve it.
Ideally, you would want to use the most recent backup file that functions properly, since that would reduce the amount of manual transactions/updates in your Quicken file that would need to be re-entered. Using a backup from from 90+ days in the past increases the odds of gaps in transaction history, since many financial institutions make only 90 days of history available for download.
I hope this helps!

Quicken Kristina,
Thank you for the comments. This morning I plan to guess at which backup to use, and I think I've narrowed it down to around April 2025. Fortunately my brokerage does have online reports I can use to enter the transactions from then and month by month enter those to "catch up" so to speak.
Wish me luck.

All,
Thanks for taking an interest and offering potential solutions. Here is what I had to do: Restore from backup from months ago. Then analyze each entry looking for potential inconsistencies between my entries and physical records from my broker. I found a few and recreated using those physical records. This took me days and sometimes had to go back years to track down the issues.
But I am happy to say I am back in business.
Regards,
Brad

You're ok but one thing I thought of is if somehow the share price got changed when you removed the shares from that one account. I would have also checked the price.
I'm staying on Quicken 2013 Premier for Windows.
